Safeguarding and data protection
Laureatus holds information about children, so we treat data protection as a safeguarding matter. Your school decides who sees what, who students connect with, and when the apps can be used.
Only the data you choose to share
Laureatus is set up from your school’s own records, so no one types student details in by hand.
- Imported from your MIS every nightStudents, classes and staff come from your management information system, so leavers drop out and new students appear automatically.
- Only the year groups taking partYou tick the year groups that use Laureatus. Students in other year groups aren’t imported.
- Leavers lose accessWhen a student leaves, or moves out of a year group you use, their student app account stops working.
Access by role
Staff see what their job needs, and no more.
- Teachers see their own classesTutors see their tutor group, subject teachers their own classes.
- Extra access is given by roleStatistics, managing student accounts and checking home connections are each a separate permission, set by your school.
- Administrator roles are given by handRoles from your MIS are imported, but administrator and leadership roles are only ever given by your school.
Controls over the student app
Students only see their own medal, points, targets, rewards and messages from staff.
Set the hours
Make the app available any time, only at set times on weekdays such as before school and lunchtime, or turn it off.
Suspend a student
Suspend a student from the app for one to four school weeks. The reason is for staff only: the student just sees how long is left.
Staff hand out logins
Students get their login details from staff with permission, who can also reset a forgotten password.
Every picture checked
A student’s avatar stays pending until a member of staff accepts it. Rejected pictures are deleted, and you can stop a tutor group changing pictures at all.
Messages from staff only
The messages students receive in the app are notices from staff to their groups, with dates for when they show.
Features you can switch off
Avatars, Lucky Spins, notifications, school raffles and seating plans can each be turned off for the whole school.
Families connect only with the student’s private code
The home app lets parents and carers support targets at home, without giving them access to anything else.
- A private code, not a searchAn adult can only connect using the code or QR code from the student’s own app. If a student shares it with the wrong person, they can get a new code and the old one stops working.
- Families see a limited viewThey see the student’s first name, medal and targets. They don’t see points, rewards or messages from staff.
- Staff can check and remove connectionsStaff with permission can see each adult connected to a student, how they say they’re related and when they connected, and remove a connection.
- Turn the home app offIf your school doesn’t want it, switch it off and your students won’t appear in it at all.
Secure sign-in for staff and students
- Staff choose their own passwordsThrough a link sent to their school email, which only works for 60 minutes.
- Strong passwordsAt least 8 characters, with capitals, small letters and a number.
- Automatic sign-outStaff are signed out after 30 minutes without activity, with a warning first.
- Lockout after wrong passwordsFive wrong attempts lock the login for a while, for staff, students and families.
Data protection
Your school is the data controller for student data in Laureatus. Laureatus Ltd processes it on your school’s behalf, under a data processing agreement with each school, in line with UK GDPR.
